Preparation: Process Extractor Setup
As part of the preparation, a Process Extractor must be installed on the customer side. The extractor is a separate technical component that connects to the relevant SAP system and is required to extract event data for Order Management process analysis.
The installation and setup of the extractor typically involves several steps and may take some time, depending on system landscape, access approvals, and coordination between IT teams.
What to expect during setup
In short, the setup of the Process Extractor includes:
- Installing the extractor component in the customer’s environment
- Configuring connectivity to the relevant SAP system
- Setting up technical users and access credentials
- Defining the required SAP connections and parameters
- Testing the connection and validating data extraction
Detailed, step-by-step instructions for installing and configuring the extractor are available in the official documentation: Process Extractor for ARIS Process Mining manual
Where to get the Process Extractor
The Process Extractor can be downloaded by administrators from the ARIS Process Mining download center:
https://ariscommunity.com/download-center/products/aris-process-mining
Process Extractor Version Check
The Process Extractor version is aligned with the ARIS Process Mining version; which can be checked in the ARIS Process Mining project space by opening the user menu in the upper right corner and selecting About.
Purpose-Specific Preparation: SAP System Integration Setup
Once the Process Extractor is successfully installed and the technical prerequisites are in place, the next preparation step is to configure the SAP system integration within the ARIS Process Mining project space.
This SAP system integration serves as a prerequisite for the solution and prepares the Process Mining project for later use. The actual data extraction and productive connectivity to the SAP system are typically configured at a later stage, after the accelerator has been installed, and can be adjusted by the customer as required.
The configuration is performed directly in the ARIS Process Mining project space and typically includes defining the SAP source system, setting up the integration parameters, and validating the connection.
Detailed instructions on how to configure the SAP system integration are available in the official documentation: Create an SAP/JDBC system integration
APM Help → Manage ARIS Process Mining → Manage System Integrations → Create an SAP/JDBC System Integration
Technical SAP Access Requirements
The technical user used by the Process Extractor must fulfill a set of predefined requirements that are documented in the official Process Extractor for ARIS Process Mining manual.
These requirements are described in the section “Requirements of SAP Source System”, which specifies the mandatory SAP authorizations and access rights required for a successful extraction. These permissions are fixed and apply independently of the specific accelerator or use case.
In addition to these general requirements, the technical user must also have read access to the SAP tables that are specifically required for this accelerator. These accelerator-specific tables are listed below and extend the standard extractor requirements.

Required ARIS Process Mining Privileges and Licenses
Although these requirements could technically be addressed as part of the installation phase, it is recommended to review them already during the Preparation and Prerequisites phase. In practice, obtaining the required licenses and privileges may involve additional coordination and approval steps and can therefore take some time.
Ensuring that the necessary ARIS licenses and privileges are available in advance helps to avoid delays during the accelerator import and subsequent data loading.
Required Licenses
- ARIS Process Mining – Engineer license
Required during the accelerator import.
(For so-called combined deployments, an Administrator license can also be used.) - Living Processes license
Required later during the subsequent data import.
The required license volume depends on the amount of data loaded into the Process Mining project space.
Required Privileges
- Process Mining Data Set Creator
- Either (recommended): System Administrator & User Administration or alternatively the "Client Secret" ID for the SAP System Integration is known (Details here)
