we actively use the Collaboration feature in ARIS and overall it works well for us.

At the moment, notifications for collaboration comments work as follows:

  • Users can manually follow a model to receive updates.
  • The Process Owner automatically follows the model when they are assigned as process responsible.

So far, so good.

However, we are currently facing a scalability challenge and I’d like to hear how others deal with this.

We have multiple Business Units, each with its own Process Excellence team.
To give an example: a single Business Unit may have around five Process Excellence Specialists, and they are responsible for several hundred processes within their organisational scope.

The expectation from these teams is:

Every Process Excellence Specialist would like to be notified about collaboration comments on all processes belonging to their Business Unit.

With the standard functionality, this would mean that each person has to manually follow each individual process model, which quickly becomes unmanageable at this scale. The teams feel that, given the volume of processes and people involved, this is not a very lean solution.

So my questions to the community are:

  • Have you faced a similar requirement?
  • Did you find a workaround or best practice for this?
  • Are there configuration options, role-based approaches, or creative solutions (technical or organisational) that you can recommend?

Any ideas or shared experiences would be highly appreciated.
