Dear ARIS users,
Our company has been using the ARIS Enterprise Cloud version for process modeling for about a month and a half.
I have previous experience with ARIS, but only from a Designer's perspective. I now have administrator privileges and am responsible for setting up the system.
I have encountered a few issues that I would like to share. If anyone has experienced something similar or knows how to resolve them, I would greatly appreciate your advice.
Here are the difficulties:
-
Automatic setting of process validity dates
In my previous company, when a process (e.g., EPC, VACD, etc.) was created and submitted for approval, the process validity dates were automatically set once the process owner approved it.
In our current ARIS environment, we have to enter the validity dates manually. However, this creates a problem. For example, if we set the validity dates when creating the process, but the process owner approves it a week later due to being on leave, the validity period will no longer reflect the actual approval date.
Is there a way to configure ARIS so that the validity dates are automatically set based on the approval date?
-
Process validity expiration notification
I also have a related question. When a process is approaching its validity expiration date (for example, one year after approval), does ARIS automatically send an email notification to the process owner before it expires (e.g., one month in advance)? If so, how can this be configured?.
Has anyone encountered these issues? If so, how did you handle them?
Thank you very much in advance for your help!

Hi,
To answer both of your questions:
What you describe is typically achieved through a workflow rather than standard ARIS functionality. In your previous environment, there was likely a customized approval workflow (APG Workflow) that automatically updated the process validity dates once the process owner approved the model.
If this is not available in your current environment, it can be implemented by creating an APG approval workflow. The process owner would receive a task via email to approve or reject the process on a user form. Once approved, the workflow could automatically set the validity dates and perform any other required updates by invoking ARIS reports or scripts.
One possible approach would be to create an ARIS report that is scheduled to run daily. The report could identify processes whose validity date is approaching (e.g., within the next 30 days) and automatically send an email notification to the respective process owner. Depending on your requirements, the report could also generate reminder tasks, update attributes, or trigger a workflow for the review process.
I hope this information is helpful.
Best regards,
Luka.
