Do you use one or more document management systems (DMS) with your ARIS business server? In that case, you can use the new DMS search feature of ARIS to find documents in your document management system(s).

Search for Documents

The document search is part of the normal ARIS search dialog (tab "DMS"). It is only visible if you are connected to a server with at least one DMS.

The search dialog gives you the possibility to set different constrains for your document search.

  1. In the first row, you can select the radio button "Group" or the radio button "Entire DMS". If group is selected, you can choose a group (by clicking on the browse button "…"). In that case, the result of the search will only contain documents which are linked by an ARIS element (Object, Model or Group) that is located below the selected group (in the selected group or a sub group of the selected group). If you select the other radio button "Entire DMS" the search result is not restricted to a group, all documents of the DMS systems will be found (even if they are not linked from an ARIS element).
  2. In the second row you can choose the DMS systems which you want to use for the search (by clicking on the browse button "…"). If only one DMS system is available, the system is automaticity selected and the browse button is disabled.
  3. In the third row you can enter a search query and you can select where you like to search (“Find what" combo box).
    • File name: The search returns only documents with a filename that matches the search query.
    • Content: The search checks if the given search query matches the content of documents.
    • Tags: The search checks if the given search query matches meta attributes of documents in the DMS system (like Author).
    • All: If "ALL" is selected a search checks for filenames, content and tags.

The syntax of the search query:

We support AND/OR queries without parenthesis
NOT a Only simple negation is supported

The priority of logical operators is in following order OR -> AND -> NOT.

Operands in queries can be following:

Phrase Description
"exact phrase"

"phrase1" AND "phrase2"…

"phrase1" OR "phrase2"…
Searching for exact phrase
ar*s * substitutes unlimited number of characters
ar?s ? substitutes one character

Remark: The content search doesn’t support wildcards like (*,?).

Search result

The search result is displayed in a table. Every row in the table represents one search result. The table contains 5 columns.

  1. the document’s filename
  2. the type of the document (.doc/ .pdf etc.)
  3. the name of the DMS system where the document is stored
  4. the title of the DMS link (if a DMS link exists for the document)
  5. the path to the ARIS element where the link is defined to the document (if a DMS link exists for the document)

Remark: If a document is linked from different ARIS elements, the document occurs for every link (that matches the search) once in the result.

You can select one row in the result table and open the context menu to download the corresponding document to your computer.

If you select a search result, which is linked from an ARIS element (link column is not empty) and you open the context menu on the link element (column link) than the context menu of the linked element will be displayed (e.g. if it is a model it is possible to open the model).

This new feature improves the integration of ARIS and document management systems. You can now search your DMS without leaving ARIS. This makes working more productive, because you don’t need to switch between different applications while you are working.
